Privacy Policy

1. Who we are
This Privacy Policy describes how the operator of the Fretie platform (“Fretie”, “we”, “us” or “our”) collects, uses, and protects personal data when you visit fretie.com, use app.fretie.com, or otherwise interact with our services (together, the “Service”). For questions or requests about your data, contact us at contact@fretie.com.
Fretie is a business tool. For most data processed through the Service — such as the contents of a connected mailbox — we act as a processor on behalf of the business that connected it (our customer), which remains the controller of that data. For account and website data, we act as the controller.
2. Data we collect
- Account data. Name, business email address, organization details, and authentication data handled by our sign-in provider.
- Connected mailbox data. When you connect a Gmail or Microsoft Outlook mailbox (including a shared mailbox you are authorized to connect), we access email messages, headers, attachments, and metadata within the scope you grant, to detect and process quote-request emails.
- Operational data you provide. Rate cards, quotes, margin rules, customer records, carrier invoices, and documents you upload or that arrive via connected systems.
- Usage and device data. Log data such as IP address, browser type, pages viewed, and actions taken in the Service, used for security, debugging, and product improvement.
3. How we use data
- to provide the Service: reading quote-request emails, matching rates, preparing draft quotes and replies, and pushing bookings to systems you connect;
- to operate accounts, billing, and support;
- to secure the Service, prevent abuse, and comply with legal obligations;
- to improve the Service using aggregated or de-identified usage information that does not identify you or your customers.
We do not sell personal data, and we do not use the contents of connected mailboxes for advertising.
4. Google API Services — Limited Use disclosure
Fretie’s use and transfer to any other application of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. In particular:
- we only use Gmail data to provide user-facing features of the Service — identifying and processing quote-request emails and preparing draft replies;
- we do not use Gmail data for advertising, and we do not sell it;
- we do not use Gmail data to develop, improve, or train generalized artificial-intelligence or machine-learning models;
- humans do not read Gmail data except with your explicit permission, where necessary for security or abuse investigation, to comply with law, or where the data has been aggregated and de-identified.
Microsoft account data accessed via the Microsoft Graph API is handled under the same restrictions.
5. AI processing
The Service uses machine-learning models to interpret emails and documents and to draft quotes and replies. Content is sent to our model providers solely to generate those outputs for you; we configure providers not to use your content to train their models, and we do not train generalized models on connected mailbox data ourselves.
6. Sharing and subprocessors
We share data only with service providers that help us run the Service — hosting and edge infrastructure, database hosting, authentication, email delivery, and AI model providers — under contracts that limit their use of the data to providing services to us. We may also disclose data where required by law, to protect the rights, safety, or security of Fretie or others, or as part of a merger, acquisition, or sale of assets (in which case this policy continues to apply to the transferred data). We do not share Customer Data with unrelated third parties for their own purposes.
7. International transfers
The Service runs on globally distributed edge infrastructure, so data may be processed outside the country where it originates, including in the European Economic Area and the United States. Where required, transfers are protected by appropriate safeguards such as the European Commission’s Standard Contractual Clauses.
8. Retention and deletion
We keep personal data only as long as needed for the purposes above: Customer Data for as long as the connected account or organization remains active, and usage logs for a shorter period unless security or legal obligations require longer. When you disconnect a mailbox or close your organization’s account, associated data is deleted from active systems within a reasonable period, subject to legal retention duties and residual copies in backups that expire on their own schedule. You can request deletion at any time via the contact address below.
9. Security
We use technical and organizational measures appropriate to the risk, including encryption in transit, encrypted storage, scoped OAuth access to connected services, and access controls that limit data access to what each organization’s users are entitled to see. No system is perfectly secure; we will notify affected customers of a personal-data breach as required by law.
10. Your rights
Depending on where you are, you may have rights to access, correct, delete, export, or restrict the processing of your personal data, to object to processing, and to withdraw consent (such as by disconnecting a mailbox at any time). You may also lodge a complaint with your local data-protection authority. If your data is processed by Fretie on behalf of one of our customers, we may refer your request to that customer as the controller. To exercise your rights, contact contact@fretie.com.
11. Cookies
The Service uses cookies and similar technologies that are strictly necessary for sign-in and security. Our marketing site does not use third-party advertising cookies.
12. Children
The Service is a business tool and is not directed at children. We do not knowingly collect data from anyone under 16.
13. Changes to this policy
We may update this policy from time to time. Material changes will be announced via the Service or by email before they take effect, and the “Last updated” date above will change. Continued use of the Service after the effective date constitutes acceptance of the updated policy.
